Manage Ask Yarken settings, Copilots, and Knowledge Base

Use this article to manage the current environment settings that support Ask Yarken and AI Studio.

Current AI settings

Administrators configure environment-level Ask Yarken settings from Admin > Settings > AI.

The current configuration includes Ask Yarken, Automation Notifications, and Lookup Search. Copilot configuration has moved to Admin > AI Studio > Channels > Copilots.

Ask Yarken settings

To configure Ask Yarken:

  1. Go to Admin > Settings.

  2. Under AI, select Ask Yarken.

The page includes controls for:

  1. Enable Ask Yarken.

  2. Organization context for Ask Yarken.

  3. Search lookup: Ambiguous matches.

  4. Enable Ask Yarken Beta.

Ask Yarken Beta and AI Studio access

The previous Ask Yarken Beta Test Users email list has been removed. Individual email addresses no longer need to be added for Beta access.

A user can access AI Studio when:

  • The user has Admin privileges.

  • The environment has the required Yarken AI licence.

  • Ask Yarken Beta is enabled.

AI Studio is not restricted to Yarken administrators. Users without Admin privileges cannot open AI Studio configuration, but can continue to use other enabled Ask Yarken Beta features when their licence, role, and feature access allow them.

Organization context for Ask Yarken

Organization context is optional admin-written guidance that Ask Yarken applies when answering questions. Use it for concise company goals, financial policies, reporting definitions, internal terminology, naming conventions, currency preferences, answer guidance, and governance requirements.

Organization context shapes responses. It does not override governed data, financial year settings, permissions, or tool-backed results.

Search lookup and ambiguous matches

Search lookup helps Ask Yarken resolve names from user questions to actual values in Yarken, such as vendors, applications, projects, cost centers, accounts, teams, and consumers.

Ask Yarken asks the user to confirm the intended match before applying filters.

Agent chooses best match

Ask Yarken selects the most likely match using the question and context.

The supporting index is managed under Admin > Settings > AI > Lookup Search. This was previously described as the Knowledge Base search index. The new name avoids confusion with AI Studio > Knowledge Base, which stores documents.

Use Lookup Search to maintain the indexed Yarken values used for search and Ask Yarken name resolution.

Refresh the index when master data changes. Clear and rebuild it only when a complete reset is required.

Copilots

Copilot configuration that previously appeared under Admin > Settings > AI has moved to Admin > AI Studio > Channels > Copilots.

The AI Studio Copilots page presents available Copilot modes as cards. Administrators can review status and open a Copilot's settings to enable or disable it for users where supported.

Current Copilot experiences can include Cost Pool Rules Copilot, Tower Rules Copilot, Dashboard AI Narrative, and Graph Explanation Copilot, depending on the environment and available features.

Admin checklist

  1. Confirm the environment has a Yarken AI licence.

  2. Enable Ask Yarken when the chat experience should be available.

  3. Enable Ask Yarken Beta when the Beta AI framework and AI Studio should be available.

  4. Confirm AI Studio administrators have Admin privileges.

  5. Add concise organization context where useful.

  6. Choose the ambiguous-match behavior.

  7. Keep Lookup Search current.

  8. Configure required Copilots in AI Studio.

  9. Test the enabled experiences using representative user roles.
