The Cost Center Access screen allows administrators to control which cost centers a user can view and manage within YäRKEN.
By assigning cost centers to specific users—typically Cost Center Owners—you ensure users can access only the data relevant to their responsibilities, such as reviewing budgets, forecasts, and spend as part of the YäRKEN IT Planning process.
This access control supports data security, accountability, and clear ownership across the organization.
How Cost Center Access works

Each user can be assigned one or more cost centers.

Users can view and analyze only the data associated with their assigned cost centers.

Assigned users can access:

Cost center budgets
-
Forecasts
-
Related planning, reporting, and analytics data

Cost centers that are not assigned remain hidden from the user.
Assign cost centers to a user
Use this workflow to assign cost centers to a specific user.
Procedure

Navigate to Admin > User Management > Cost Center Access.

From the Users list on the left, select the user you want to assign cost center.

The screen displays two panels:

Available Cost Centers — cost centers not yet assigned

Assigned Cost Centers — cost centers already assigned

In the Available Cost Centers panel:

Use search or scrolling to locate cost centers.

Select one or more cost centers using the checkboxes.

Use the right arrow (→) to move the selected cost centers to the Assigned Cost Centers panel.

Click SAVE to apply the changes.
Once saved, the user can access data only for the assigned cost centers.
View assigned and unassigned cost centers
For any selected user, you can quickly review access:

Available Cost Centers
Shows cost centers the user does not currently have access to. -
Assigned Cost Centers
Shows cost centers the user can view and manage.
This view makes it easy to audit access and validate assignments.
Update or remove access
You can modify a user’s cost center access at any time.
Remove access

Select the user.

In the Assigned Cost Centers panel, select the cost centers to remove.

Use the left arrow (←) to move them back to Available Cost Centers.

Click SAVE.
Changes take effect immediately.
