The Users page allows administrators to configure, manage, and govern user access across the YäRKEN platform. From this screen, you can create users, assign roles, control activation status, and define the default dashboard experience—ensuring each user has the right level of access for their responsibilities.
By default, the Users list displays active users. You can assign one or more roles to a single user, allowing flexible, role-based access tailored to how individuals interact with YäRKEN.
What you can manage from the Users page
Using the Users page, administrators can:
-
Add and manage users with names, usernames, and email addresses
-
Assign one or more roles per user
-
Activate or deactivate users as needed
-
Set a default dashboard for the Home page
-
Control access to key menus and features based on role
User roles and permissions
User roles define what areas of the application a user can access and what actions they can perform. Roles are not mutually exclusive—multiple roles can be combined for a single user to align with their access and operational needs.
|
Role |
Description |
|---|---|
|
Admin |
Full control over the application. Can manage users, settings, data uploads, rules, allocations, and configurations across YäRKEN. |
|
Power User |
Broad access to the platform with the exception of the Admin menu. Power Users can access Home, Reports, Analytics, Planning > Business Case, and Chargeback. Access to other Planning modules—such as Budget, Forecast, and Cloud Forecast—requires the appropriate planning and forecasting-specific roles (for example, Budget Contributor, Budget Process Owner, Cloud Engineer, or Cloud Cost Owner). |
|
Viewer |
Read-only access to data. Can analyze dashboards and reports but cannot modify data or settings. Note: The viewer has read-only access to the custom dashboards. |
|
Dashboard Only |
Restricted, view-only access to the Home page. Users can view the assigned default dashboard (custom and standard), apply filters, and drill down—but cannot access reports or analytics. |
|
No Role |
Allows Admins to add users without assigning access permissions immediately. Users with No Role have no access to dashboards, reports, analytics, or functional features until a role is assigned. This role is useful for staged onboarding or pending access approvals. |
Planning, budgeting, and chargeback roles
These roles support budgeting, forecasting, and financial workflows and can be combined with other roles.
|

*These roles are not independent; they can be combined with Admin or Power user roles for full access.
**Planning (Partial): When only the Power User role is assigned, the user can access Planning > Business Case. Access to other Planning modules (Budget, Forecast, and Cloud Forecast) requires additional role assignments. Budget and Forecast access require the Budget Contributor and Budget Process Owner role. Cloud Forecast access requires the Cloud Engineer and Cloud Cost Owner role.
No Role users do not have access to any menus or features until one or more roles are assigned.
