Assets

Overview

An asset is a technology or business resource that supports your organization’s operations. In Yarken Designer, assets are loaded and managed monthly so the model reflects the current state of your technology environment.

Assets are used to:

  • track technology resources by month,

  • support reporting and analysis,

  • distribute Tower spend to operational resources,

  • consolidate spend into Applications, Products, or Services,

  • and enable downstream allocation to Solution Offerings.

Each asset must have a unique Asset ID and Asset Name. Once asset data is loaded for a month, it becomes available for Tower allocation and asset-level spend distribution.


Where assets fit in the cost flow

Assets sit between Towers and Solutions in the model (Spend, Budget, and Forecast).

The typical flow is:

Tower spend → Assets → Applications / Products / Services → Solution Offerings

Assets help translate Tower-level spend into the operational resources that support business services.


Asset management capabilities

Yarken supports the following asset management capabilities:

  • Monthly uploads
    Load asset data for each month so reporting reflects the latest asset state.

  • Manual record creation
    Add individual asset records when only a small number of updates are required.

  • Bulk file upload
    Upload asset records using .xlsx or .csv files.

  • Copy assets across periods
    Reuse asset data by copying records from another month or to another year.

  • Reporting and analytics
    Use asset data in Analytics to understand asset usage, relationships, and allocation behavior.

  • Upload rules
    Apply rules during upload to standardize or enrich asset data.


Asset types

Yarken supports multiple asset types for monthly reporting and allocation. Each asset type represents a different kind of technology or business resource.

Applications

Business or IT applications used to deliver services or capabilities. Applications are primary assets and can receive consolidated spend from other assets.

Products

Digital or technology products delivered to internal or external consumers. Products are primary assets and can receive consolidated spend.

Services

IT or business services delivered using applications, infrastructure, or operational resources. Services are primary assets and can receive consolidated spend.

Cloud

Cloud services or cloud resources used by the organization, such as cloud platforms, subscriptions, or cloud workloads.

Computers

End-user computers, workstations, or compute devices.

Converged

Converged or hyperconverged infrastructure combining compute, storage, and networking resources.

Databases

Database platforms, instances, or database services.

Data Centers

Physical or logical data center locations that host infrastructure and services.

Employees

Employee or workforce-related assets used for labor or ownership-based allocation.

Fixed Assets

Capitalized assets tracked for accounting, depreciation, or ownership purposes.

Hardware

Physical technology equipment such as appliances, devices, or infrastructure components.

Mainframes

Mainframe systems or environments used for enterprise processing.

Mainframe Storage

Storage resources specifically supporting mainframe environments.

Middleware

Middleware platforms that connect applications, systems, or services.

Network Devices

Routers, switches, firewalls, and other network infrastructure components.

Phone Numbers

Phone numbers or telecom resources used for communication and mobile or voice tracking.

Printers

Printing devices and related output infrastructure.

Projects

Project-based assets used to track costs or resources tied to initiatives.

Servers

Physical or virtual servers used to host workloads and services.

Storage

Storage systems, volumes, platforms, or related storage resources.

Software

Software products, licenses, or technology platforms.

Value Stream

Business or delivery value streams used to align technology spend to outcomes.

Miscellaneous

Other assets that do not fit into the predefined asset categories.


Managing asset spend

In Yarken, Applications, Products, and Services are treated as the primary asset categories for downstream allocation.

Spend from other asset types, such as Hardware, Servers, Databases, Storage, Cloud, or Employees, cannot be distributed directly to Solution Offerings. That spend must first be consolidated into one of the primary asset categories:

  • Applications

  • Products

  • Services

This consolidation is performed using:

  • Asset Rules – condition-based allocation between assets

  • Asset Mapping – file-based asset-to-asset mapping

Once spend is consolidated into Applications, Products, or Services, it can be allocated to Solution Offerings.

Note: Applications, Products, and Services act as final aggregation points in the asset hierarchy. They cannot be allocated to one another or to lower-level assets.


Asset loading workflow

Use the following workflow to load and use asset data effectively.

1. Load monthly asset data

Upload or manually add asset records for the selected month.

2. Distribute other asset spend to primary assets

Use Asset Rules or Asset Mapping in Towers to consolidate spend from other asset types into Applications, Products, or Services.

3. Allocate asset spend to Solution Offerings

Once spend is available in Applications, Products, or Services, allocate it to Solution Offerings through Solution Rules or Solution Mapping.
